platforms and tools

The tools we work with

We don't sell tools and we won't make you replace what you already use. This is what we work with every day — and what we actually build on each one.

Automation

n8n

n8n can run on your own server, so data never leaves the building. That makes it the first choice when a process runs many times a day or touches sensitive data.

  • Processes that run unattended

Data transfers, checks and processing that execute themselves, on a schedule or on an event.

  • Connecting the tools you already use

CRM, forms, email, spreadsheets and the website exchange data without manual copying.

  • Handling larger volumes

Processes with thousands of records run without the volume becoming a problem.

  • Your server, your data

We install n8n on your infrastructure when data must not sit with third parties.

  • Monitoring and retries

An error isn't lost: the process retries, and you're only told when a decision is needed.

Make.com

Make shows a process as a diagram you can look at yourself. A good choice when the automation is moderately complex and you want to see where it got stuck without calling us.

  • Connecting tools without code

Forms, email, spreadsheets, CRM and the web shop exchange data through a diagram you can read.

  • Processes with branches

A different path depending on the type of enquiry, the amount or the customer — no manual sorting.

  • Document handling

Incoming invoices, quotes and attachments are processed and filed where they belong.

  • A visible run history

Every run and where it stopped is visible, so it's clear to you too.

  • A cheaper move when it grows

When the operation count climbs, the same process moves to n8n without being reinvented.

Zapier

Zapier has the most ready-made connections to business tools. When the task is simple — one trigger, one action — there's no sense building anything heavier.

  • Enquiries straight into the CRM

A new form, message or order lands where the team actually looks, without retyping.

  • Connections nothing else has

When a tool only has a ready-made Zapier connection, that's both the fastest and the cheapest route.

  • Alerts to the team

An important event shows up in email, Telegram, or wherever the team already works.

  • Testing an idea quickly

Before a bigger build we stand up a simple version and see whether it's worth going further.

  • Honest advice about moving on

When the task count grows we'll tell you it's time for n8n — and move the process.

Artificial intelligence

Claude

Claude is good at reading and sorting text — enquiries, documents, messages. In our systems it never invents an answer to a customer: it sorts, suggests and prepares, and the last word belongs to a person or an approved template.

  • Sorting enquiries

A new enquiry gets a label, a priority and a short summary, so the team knows immediately what's urgent.

  • Summarising documents

Quotes, contracts and long messages are reduced to what has to be decided.

  • A draft reply from a template

The suggested reply is built from approved templates, not from imagination — a person confirms or edits it.

  • Pulling data out of text

Line items, amounts and deadlines are extracted from email or PDF into a spreadsheet.

  • A check before anything is sent

Everything going to a client passes the rules you set — prices and promises are never invented.

ChatGPT

Most people use ChatGPT in a separate window and then copy the result across. We build it into the process, so the step happens on its own — while anything going to a client still passes through an approved template and a human.

  • Text handling inside the flow

Summarising, sorting and rewriting happen automatically, with no copying.

  • Content drafts prepared

Drafts of posts or descriptions are built from your own data and wait for your approval.

  • Translation and proofing

Web and email text is prepared in several languages, in the same voice.

  • Data out of unstructured text

Fields the system can actually process are extracted from messages and documents.

  • Limits built into the process

What it may write and what it must never write are part of the system, not a matter of goodwill.

Ads and messaging

Meta Ads

Meta knows how many clicks an ad produced. It doesn't know whether that click became a customer. We connect the ad account to your data so revenue can be traced back to the ad that caused it — and so messages don't sit waiting for a reply.

  • Ads wired to the CRM

An enquiry from an ad enters the CRM tagged with its campaign, so later you can see which ad brought a customer and which brought clicks.

  • Measurement that survives blockers

Conversions are sent from the server too, not just the browser — Meta optimises on a fuller picture.

  • Messages answered in a minute

Facebook, Instagram and WhatsApp messages get an accurate answer immediately, outside working hours too.

  • Enquiries without retyping

Forms and messages land in a spreadsheet or CRM on their own, with no copying out of the interface.

  • A report on spend and result

A weekly view that shows cost per real enquiry and per customer, not just cost per click.

Telegram

A dashboard nobody opens notifies nobody. Telegram is the cheapest way for something important to reach a phone in seconds — and to be answered with one tap.

  • An alert the moment it happens

A new enquiry, booking or system error arrives as a message immediately, with the details in the message itself.

  • Approvals from your phone

When the system needs your decision, you get a message with buttons — the answer goes straight back.

  • An internal bot for the team

The team enters or fetches data through Telegram, with no new accounts and no new interface to learn.

  • A daily digest

A short summary of the day or week arrives on its own, at an agreed time.

  • System monitoring

If an automation stops, it says so itself — you don't hear it from a customer.

Facebook

Messages and comments arrive outside working hours and get lost among the rest. We connect the page to the rest of the system so every enquiry gets a place and an answer.

  • Message enquiries into the CRM

A message to the page opens a record with the name, the text and the time.

  • An automatic first reply

Out of hours, the visitor gets an immediate acknowledgement and a realistic response time.

  • Lead forms

Data from a Facebook form enters the CRM without anyone downloading a file.

  • Scheduled posts

Content you publish anyway goes out at the agreed time, with no reminder.

  • Tied back to the ads

An enquiry is linked to the ad that produced it, so you see what actually works.

Instagram

For a lot of companies Instagram is a real sales channel, but all of it lives in an app on one phone. We connect the business account to the rest of the system.

  • Messages that become enquiries

A DM becomes a record in the CRM, with the conversation attached.

  • A reply outside working hours

An automatic acknowledgement instead of silence until morning.

  • Comments asking for a price

A comment asking about cost is recognised and routed to a person.

  • Scheduled posts

Posts and stories go out at agreed times.

  • Tied back to the ads

You can see which ad produced which message, and which sale.

WhatsApp

Almost everyone opens WhatsApp. Through the official business access you can send confirmations, reminders and statuses — within the rules Meta sets for that kind of message.

  • Confirmations and reminders

An appointment, order or delivery is confirmed by a message the system sends itself.

  • Answers to the usual questions

Opening hours, order status and directions answered instantly, the same way every time.

  • Handover to a person

When a question goes beyond the script, a human takes over with the full history.

  • Recorded in the CRM

The conversation attaches to the customer, so it survives a change of staff.

  • The rules worth knowing

Outside a 24-hour window only approved templates may be sent — that is Meta's rule, not ours.

CRM and sales

Attio

Attio is a modern CRM with a clean interface and a proper API, so things can be written into it automatically — from a web form, from e-mail, from an ad. For small teams it sets up quickly, without a big project.

  • Enquiries entered automatically

A form, an e-mail or an ad opens a record in Attio with nobody typing it in.

  • Stages that match how you actually sell

We set the stages to the way the work really runs, not the way they ship by default.

  • No duplicate records

A customer who gets in touch twice stays one record, with both messages on it.

  • Reminders that don't get forgotten

A quote with no reply after three days puts itself back on that day's list.

  • The numbers out of the CRM

How many enquiries came in, how many became quotes, and where things most often stall.

HubSpot

HubSpot has everything it needs and a clean API — the usual problem is that it sits apart from the rest of the company. We connect it to forms, ads, e-mail and spreadsheets so data arrives on its own.

  • Every source of enquiries in one place

Web form, Meta ad, e-mail and phone enquiry all land in the same view.

  • Migration out of the old system

Existing contacts and history move into HubSpot cleaned up, without duplicates.

  • Connections to tools outside HubSpot

Spreadsheets, ERP, forms and internal tools exchange data with the CRM both ways.

  • Tasks and reminders that fire themselves

A stage changes and the task opens itself, with nobody holding the next step in their head.

  • A report you actually look at

HubSpot's numbers joined to ad spend, so you can see what brings in work.

Cal.com

Cal.com is an open booking tool that reads your calendar and offers only what is genuinely free. Kyuro uses it for its own calls, so we also know where it trips up.

  • A public link instead of arranging

The customer picks a slot themselves, out of what your calendar actually has free.

  • Reminders that cut no-shows

A message a day before and an hour before, by e-mail or to a phone, sent by nobody.

  • The booking recorded in the CRM

A reservation opens or updates a record, so you know who booked and where they came from.

  • Different kinds of appointment

A short call, a site visit and a service job can each have their own rules and length.

  • A schedule that respects reality

Breaks, travel and working hours go into the rules rather than into rescheduling afterwards.

Calendly

Calendly is widespread and does its job well. What is usually missing is the booking doing anything beyond writing itself into a calendar.

  • A booking opens a record

A new appointment becomes a CRM record, with its source and the form answers.

  • Reminders that cut no-shows

A message a day before and an hour before, on a channel the client actually reads.

  • Preparation before the call

Everything known about the client is gathered beforehand, so the call doesn't start from zero.

  • Cancellations that register

A cancelled or moved appointment updates the record, not only the calendar.

  • Different kinds of appointment

A short call, a site visit and a meeting each get their own rules.

E-mail

Brevo

Brevo sends both automatic messages and newsletters from one place. Kyuro runs its own system on it, including the part most people skip — setting up the domain so the mail doesn't land in spam.

  • Confirmations and reminders sent by the system

Order confirmation, appointment reminder and status notice go out on their own, in seconds.

  • The domain set up properly

SPF, DKIM and DMARC on your domain — without them even the best message ends up in spam.

  • Newsletters without hand-built lists

The list fills from forms and the CRM, and an unsubscribe is honoured everywhere at once.

  • An unsubscribe that actually works

One click, no login, and that address receives nothing further — as the law requires.

  • Messages that never send twice

The system remembers what went out, so a restart does not mean a second message to the same person.

Mailchimp

Mailchimp is the most common choice for newsletters and has a clean API. The work that stays manual is almost always the same: somebody exports a list from one system and imports it into another.

  • A list that fills without export and import

A new sign-up on the site or in the CRM appears in Mailchimp the same moment.

  • Separate lists by interest

Customers, enquiries and partners stop getting the same message just for sharing a system.

  • Messages that follow behaviour

An abandoned basket, a first order or an anniversary triggers a message nobody sends.

  • Unsubscribes reconciled everywhere

Someone who opts out in Mailchimp is opted out in the CRM — and the other way round.

  • Numbers joined to sales

Opens and clicks only mean something next to actual orders.

E-mail deliverability

Sending from a new domain, or sending more of it, almost always ends up in spam until the technical side is in place. It is visible, measurable work — and the one part of e-mail marketing that is pure engineering.

  • SPF, DKIM and DMARC on your domain

The three records without which mail servers have no reason to believe a message is from you.

  • A separate sending domain

Campaigns go from a subdomain, so a bad day in a campaign does not damage your main address.

  • Gradual warm-up instead of a cold start

Volume rises slowly and deliberately, because a new domain that suddenly sends thousands gets blocked.

  • List cleaning before sending

Dead and non-existent addresses are removed first — they do the most damage to reputation.

  • Measurement instead of guesswork

A test through the real sending path returns a score, the signatures, and the reason for every rejection.

Data collection

Apify

Apify is a service for collecting publicly available data from the web. It is for the work someone does manually today: checking prices, watching listings, or retyping a registry into a spreadsheet.

  • Competitor prices and listings

Publicly published prices are collected on a schedule and land in a spreadsheet or database.

  • Public registries and directories

Lists that are otherwise retyped by hand arrive structured and ready to work with.

  • Change tracking

What you want is what changed since last time, not the whole list again.

  • Checked before it is used

An empty or malformed result is raised as an error instead of quietly overwriting good data.

  • A clear line on what we don't do

We do not log in as somebody else and we do not work around protections or terms of use.

Contact sourcing and enrichment

Building a list of companies, filling in what is missing, and verifying addresses before anything is sent — all three are manual work today, done by somebody who should be doing something else.

  • A list from public sources

Registries, directories and public filings assembled into one list with the same fields throughout.

  • Filling in what's missing

Industry, size, location and website filled in through services with documented interfaces.

  • Addresses verified before sending

Dead addresses are removed up front, because they do the most damage to a domain's reputation.

  • No duplicates, no one who opted out

The same contact never enters twice, and anyone who asked not to be contacted stays off for good.

  • A list that stays yours

The data lives in your system, in a form you can export without us.

Instantly

Instantly sends business messages in sequence, spread across domains with volume raised gradually. It is worth exactly as much as the list behind it.

  • Several domains and mailboxes

Sending is spread out, so one domain never carries the whole volume.

  • Gradual warm-up

Volume rises slowly, because a sudden start means a block.

  • Follow-ups that stop on a reply

The moment a person answers, the sequence stops — automatically.

  • Replies into the CRM

An interested reply becomes a record, not just a message in an inbox.

  • An opt-out that holds

Anyone asking not to be contacted stays out of every future campaign.

Apollo

Apollo is a database of companies and contacts, searchable by industry, size and location. On its own it is a list; the value appears when it is joined to what you already have.

  • A list on clear criteria

Industry, size and location instead of searching by hand.

  • Filling in existing records

Contacts you already hold get the missing fields added.

  • Verified before use

Addresses are checked and dead ones removed before anything is sent.

  • No duplicates in the CRM

A contact you already have doesn't enter twice under a new name.

  • The limit worth knowing

Personal data carries legal duties — the records and the lawful basis stay with you.

Data and documents

Google Workspace

Most companies run half the business in a spreadsheet — and that's fine. The problem isn't the spreadsheet, it's that somebody fills it by hand. That gets solved without moving to a new system.

  • Spreadsheets that fill themselves

Data from forms, the web, email and the CRM writes itself in, with no retyping.

  • Documents from data

Quotes, contracts and reports are generated from a template and the data, in seconds.

  • A report that arrives on its own

A sales or operations summary lands by email at an agreed time, with no manual assembly.

  • Validation and cleaning

Duplicates, blanks and wrong values are caught before they reach a report.

  • Processes on Google Cloud

When a spreadsheet isn't enough, the same process moves to a service that can carry the volume.

Airtable

Airtable looks like a spreadsheet but behaves like a database: every row has its own form, status and history. For a lot of companies that is exactly enough, without building software of their own.

  • One place instead of five spreadsheets

Orders, projects or stock live in one base that everyone sees in the same state.

  • Entry through a form, not a row

People in the field enter data through a form on a phone, without access to the whole base.

  • Connected to the rest of your tools

Data arrives from the website, e-mail or CRM and leaves as reports, with no copying.

  • Views by role

Warehouse, sales and management look at one base through three different views.

  • The limit worth knowing in advance

At large record counts Airtable gets slow and expensive — that is when we recommend a real database.

PostgreSQL and MySQL

PostgreSQL and MySQL are free, proven databases that a large part of the internet runs on. Once the record count grows or several people write at the same time, a spreadsheet stops being enough — a database doesn't.

  • Structure that matches your business

Tables, relations and rules set so that invalid data cannot get in at all.

  • Fast reading at volume

Hundreds of thousands of records stay searchable in a second, with no waiting for a file to open.

  • Backups that have been tested

A copy that has never been restored is not a backup — we test the restore rather than assume it.

  • Access by role

Every system and every person gets their own access with the rights they actually need.

  • Migration from wherever it lives now

Data from spreadsheets or an old system moves across cleaned, with a before-and-after comparison.

Supabase

Supabase is PostgreSQL with sign-in, access rules and file storage already built. When a small multi-user internal tool is needed, that shortens the build without giving up control of the data.

  • A database that is plain PostgreSQL

No lock-in: the same database can move elsewhere without a rewrite.

  • Sign-in and access rights

Who may see what is defined by rules in the database, not in the interface.

  • Document storage

Quotes, images and attachments sit next to the record they belong to.

  • Live data

A change shows up for everyone on the same screen, with no refresh.

  • Backups and export

The data can be exported in a standard form at any moment.

Web and custom code

WordPress

Your site already receives enquiries. The question is what happens to them in the next five minutes — and whether anyone has to retype anything.

  • Forms wired to your systems

A web enquiry lands in the CRM and the spreadsheet, tagged with where it came from.

  • An instant confirmation to the visitor

Whoever sent the enquiry gets a confirmation within a minute, not the next day.

  • Content that publishes itself

Posts and updates are generated from data you already hold, on a schedule.

  • Site and shop wired to your records

Orders and stock reach your systems without double entry.

  • Measurement without excess cookies

We set up measurement that yields numbers rather than a legal problem.

Custom code

We don't write code for the sake of writing code. But when a tool lacks the connection you need, when the volume is too large for per-step billing, or when the logic doesn't fit a ready-made system — custom code is the shortest route.

  • The integration that doesn't exist

Connecting to a system with no ready-made link, through its API or its files.

  • A small internal tool

One screen for one job — no surplus features and no large project.

  • Handling larger volumes

When thousands of records a day make an off-the-shelf tool too expensive or too slow.

  • Business rules that fit nowhere else

Calculations, checks and exceptions specific to your business, written down in one place.

  • Handed over with documentation

The code, the instructions and the access stay with you — no dependence on us for every change.

Any documented API

We cannot name every program a company might run. So the rule stands instead: if a system has a documented interface and can issue you a separate access credential, we connect to it.

  • Your ERP or invoicing program

Invoices, customers and items move to the systems that need them, without double entry.

  • Supplier and partner systems

Stock levels, price lists and delivery statuses arrive automatically instead of as an e-mail attachment.

  • Industry-specific programs

Specialist software for your trade often has an interface nobody ever asked about.

  • Export and import where there is no interface

An agreed file in an agreed place is still a perfectly orderly exchange.

  • When the answer is no

A system with no documentation, or one that demands somebody's personal username and password, stays out of scope.

Python

Most work can be done in ready-made tools, and then we use them. Python comes in when volume, per-step pricing or one specific rule means a ready-made tool is no longer cheaper or simpler.

  • Processing at volume

Thousands of records handled with no per-step charge and no waiting.

  • Rules a tool can't express

A calculation or check specific to your business, written exactly as it should be.

  • Scheduled work

Jobs that run overnight or every fifteen minutes, monitored and alerting.

  • Connecting through an API

Systems with no ready integration connect straight to the documented interface.

  • Code that stays yours

Delivered documented, in your repository — nothing locked inside ours.

How we connect

Securely, with your approval and under your oversight — your accounts stay yours, and nothing happens without agreement. Exactly how we do it is part of the craft: we walk through the details on a call, for your specific case.
